Full Job Description

Zuber Gardner CPA’s Inc. is an accounting firm in the Northeast Ohio region that has been operating for several decades. We have provided many clients with a variety of services, including preparation of personal and corporate tax returns, payroll services, tax consultation, and advisory services.

We are seeking to hire a highly motivated, forward looking, and experienced Office Manager/Administrator to join our team of professionals. Your role would include creating an amiable work environment, coordinating communication between both our staff and clients, efficiently managing the firm’s human resource planning, scheduling meetings and appointments, obtaining office supplies/equipment, greeting visitors, you will work closely with our partners to implement new ideas, general administrative organization for the company, and acquiring important information from clients and relaying the pertinent facts to our staff. We prefer a candidate with previous experience as a front office administrator. We will accept candidates from other industries like medicine and dentistry.

Responsibilities

  • The candidate will help with submitting work proposals and value-added services
  • We desire a professional that will add value to our company
  • Complete fundamental office manager tasks, such as: mailing, purchasing supplies, maintenance of equipment
  • Perform essential administrative tasks, including: schedule meetings, manage appointments between staff and clients, manage communication with clients, billing, collection of customer payments, manage company calendar, train administrative support staff,
  • Maintain front office layout in a neat fashion and maintain proper condition of equipment
  • Document and maintain records of compliance
  • Maintain project due date/materials/budgets and communicate relevant facts to staff and customers
  • Interact with clients and staff to guarantee they have an effective and pleasant working environment to ensure customer satisfaction with our services

Skills

  • Ability to multi-task and think quickly
  • Previous record of experience as an Office manager or Administrative assistant in an accounting setting or other field of business
  • Knowledge of administrative responsibilities and expectations of the position
  • Competence in MS Office (Excel, Outlook, Word, etc.) and other accounting software (Quickbooks, UltraTax, etc.)
  • Prior experience with office equipment (fax machines, printer, scanners, mail labels, etc.)
  • Ability to create, maintain, and remember a company’s schedule and appointments with clients
  • Exceptional management/organizational skills and capacity to multi-task, with an emphasis on prioritizing the most important work first
  • Ability to account for details and to use critical thinking to solve pressing problems for company
  • Adequate writing and verbal communication abilities
  • A receptive candidate able to take and give feedback relevant to administration to improve company’s operations
  • Efficient and accurate data entry skills
